1. Scope
This notice applies to personal information handled by Private Paramedical Services through this website, customer accounts, clinical-resource subscriptions, training enquiries, service enquiries and related business administration.
PPS aims to manage personal information transparently and consistently with applicable Australian privacy requirements. This notice should be read with any specific collection notice presented when information is requested.
2. Information we may collect
Depending on how you interact with PPS, we may collect:
- your name, email address, telephone number and other contact details;
- account identifiers, authentication records and account-security information;
- organisation, role, employment or professional information you provide;
- training enquiries, enrolment-related information and attendance information;
- subscription, transaction and billing-status information;
- communications, enquiries, feedback and complaint records;
- technical information such as IP address, browser information, request identifiers and security logs; and
- other information reasonably required to deliver an agreed service or meet a legal obligation.
PPS does not ask visitors to send patient-identifying information or sensitive clinical material through general website or email enquiries. Where sensitive information is genuinely required, PPS will use an appropriate and specifically authorised collection process.
3. How information is collected
Information may be collected directly from you when you contact PPS, create or use an account, register interest, subscribe, book or attend training, request a service, or communicate with us.
Some technical and transactional information may be generated automatically when you use the website or customer platform. PPS may also receive relevant information from authorised service providers, a partnered Registered Training Organisation, or an organisation arranging services for you.
You may make a general enquiry without providing more information than is reasonably necessary. Some services cannot be provided anonymously because identity, account, billing, enrolment or certification details are required.
4. Why information is used
PPS may use personal information to:
- respond to enquiries and communicate with you;
- create, authenticate, secure and administer customer accounts;
- provide clinical-resource access and manage subscription entitlements;
- coordinate training, attendance, assessment administration and related customer support;
- deliver professional services and maintain business records;
- process payments, reconcile billing events and prevent fraud or misuse;
- improve website, platform, service and security performance;
- investigate complaints, incidents and suspected unauthorised activity; and
- comply with legal, regulatory, contractual and insurance obligations.
PPS will not use personal information for an unrelated purpose unless permitted by law or authorised by you.
5. Disclosure and service providers
PPS may disclose relevant personal information to service providers that support hosting, data storage, email, authentication, payment processing, security, professional advice and business administration. These providers receive only the information reasonably required for their function.
Stripe may process payment and subscription information when Stripe-backed billing functions are used. A partnered Registered Training Organisation may receive information required for nationally recognised training administration, assessment and certification.
Some service providers may store or process information outside Australia. The countries involved can change as provider infrastructure changes. PPS will take reasonable steps appropriate to the circumstances when engaging providers that handle personal information.
PPS may also disclose information where required or authorised by law, to protect safety or legal rights, or with your consent.
6. Storage, security and retention
PPS uses administrative and technical safeguards designed to protect personal information against misuse, interference, loss and unauthorised access, modification or disclosure. No internet-connected system can be guaranteed completely secure.
Information is retained only for as long as reasonably required for service delivery, account administration, legal compliance, dispute management, security and legitimate business-record purposes. Information that is no longer required is deleted, destroyed or de-identified where reasonably practicable and lawful.
7. Access and correction
You may ask PPS to provide access to personal information held about you or to correct information that is inaccurate, out of date, incomplete, irrelevant or misleading.
PPS may need to verify your identity before acting on a request. Access may be limited where an applicable law permits or requires refusal. Where access or correction is refused, PPS will explain the reason where it is lawful and reasonable to do so.
8. Privacy enquiries and complaints
Privacy enquiries, access requests, correction requests and complaints can be sent to [email protected].
Please provide enough information for PPS to understand and investigate the issue, but do not include patient-identifying information or unnecessary sensitive material in your first email.
PPS will acknowledge and assess privacy complaints within a reasonable period. If you are dissatisfied with the response, you may be entitled to contact the Office of the Australian Information Commissioner or another relevant regulator.
9. Changes to this notice
PPS may update this notice when services, systems, providers or legal obligations change. The effective date at the top of the page identifies the current published version.
